Shaft bar RFQ checklist for industrial buyers

A quotation-ready shaft bar RFQ separates the finished component from the ordered stock. It fixes drawing authority, controlling material standard and edition, ordered and heat-treatment sections, delivery condition, machining allowance, test-piece relationship, inspection, traceability, straightness, preservation, and deviation approval. This guide is for procurement engineers buying bar or rough-machined blanks; it does not select a shaft grade, validate the design, or turn reference-specimen data into a finished-shaft guarantee.

Define the finished shaft and document authority before naming the steel

Start with the component and its duty: drive shaft, gear shaft, spindle, rotor shaft, pinion shaft, hydraulic shaft, or a buyer-defined blank. Record the drawing and revision, final geometry, load directions and reversals, speed and duty cycle, torque transients, temperature, corrosion or wear environment, keyways, splines, shoulders, threads, cross-holes, fillets, bearing seats, and failure consequence. Those details determine where section response, toughness, fatigue, surface integrity, straightness, and inspection matter. A generic request for 'heavy-duty shaft steel' leaves the supplier to guess which risk controls the order.

Set a document hierarchy. The purchase order should identify the controlling drawing, material/product standard and edition, project specification, approved deviation record, and inspection plan. ISO 404 provides general technical delivery requirements for steel products and makes the accepted order or applicable product specification decisive when requirements differ. It does not select the grade, tolerance, testing, or finished-shaft acceptance for the purchaser. State which document controls each requirement instead of listing standards without precedence.

Separate product form as well as grade. Bar, forged bar, open-die forging, rolled ring, and rough-machined blank are not interchangeable supply descriptions. Grain-flow expectations, reduction history, heat-treatment section, sampling, UT method, surface allowance, and documentation can change with the route. If the drawing permits more than one starting form, ask bidders to identify the quoted form and return a clause-by-clause deviation for alternatives rather than silently pricing the easiest source.

Convert dimensions, heat treatment, and machining into one bid basis

Use the matrix below to make bids technically comparable. The purchaser supplies the design inputs and mandatory acceptance; the supplier returns the actual proposed source and route. Do not ask a bidder to infer final geometry from a rough diameter or to infer a rough diameter from the drawing. Include finished envelopes or a controlled drawing, and identify whether the quoted quantity is bars, cut blanks, rough-machined pieces, or finished shafts.

Cross-standard names require explicit approval. GB/T 3077 and ISO 683-2 define different alloy-steel routes, product scopes, chemistry and property bases. A designation such as 42CrMo, 42CrMo4, or 4140 is not a complete purchase line and should not be treated as an automatic equivalent. If procurement wants alternatives, define the controlling route and require the supplier to state every difference in standard, condition, size band, sampling, properties, and documents.

Control ruling section, test-piece relationship, and downstream reheating

The ordered diameter is not always the section that controlled heat treatment. A bar may be heat treated at full size, rough machined before quenching and tempering, or supplied soft for treatment by the buyer. Ask the supplier to state the production section and the relationship of each tensile, impact, hardness, or hardenability specimen to it. ISO 683-2 uses product form, condition and size-banded mechanical requirements; those values cannot be transferred to an arbitrary larger center, a differently treated blank, or a finished shaft without the applicable clause and agreed sampling basis.

Jominy testing answers a different question. ISO 642:2024 defines the end-quench method and permits an agreed calculated curve within its field of application. A curve describes hardenability under that method; it does not reproduce the shaft's quench severity, geometry, furnace load, tempering, residual stress, or final core properties. If center response is critical, engineering should define a representative production-section qualification, test location, hardness traverse or mechanical tests and acceptance—not replace them with a grade-average Jominy value.

Freeze the post-treatment process window. Heavy stock removal, straightening, welding, flame work, induction hardening, stress relief, coating cure, or other reheating can change geometry, residual stress, surface condition, or previously demonstrated properties. The RFQ should state which downstream operations are in supplier scope, which temperatures or repairs need approval, and whether properties are accepted before or after the operation. If the buyer performs final treatment, the supplier should not imply finished-shaft performance from soft-condition bar evidence.

Specify inspection at the stage where it can still protect the order

Inspection should follow the process chain. Chemistry and heat identity belong to the material heat; mechanical results belong to the stated condition and lot; dimensions, straightness and surface belong to the stage measured; final geometry and NDT may belong to a later component lot. ISO 10474 defines inspection-document types supplied according to the order, but the type does not choose tests or acceptance. State the actual-result fields, sampling relationship, validators, report references, deviation status, and release point the document must contain.

Write UT as a complete clause only when the drawing, product specification, risk review, or customer requires it. BS EN 10308 covers manual pulse-echo testing of steel bars up to its stated 400 mm diameter or equivalent-thickness scope, with mechanized methods by agreement. It does not automatically apply to forgings or a finished shaft, and it does not select coverage or acceptance. Define product form, condition, method, scan surfaces, reference, class/criteria, end and near-surface limitations, personnel, stage, report, and heat/item traceability.

Third-party inspection needs decision points rather than a generic note. Identify document review, material identification, sample marking, mechanical tests, UT, dimensional/straightness checks, packing review, and final release as hold, witness, review, or surveillance points. State notification time, what happens if the inspector does not attend, and who may waive or release a point. Price representative material, destructive tests, attendance, and data-book preparation before award.

Issue an RFQ line that forces assumptions into the open

The worked line below is a drafting pattern, not an approved design. Replace every bracketed item with the engineering requirement and licensed standard. It deliberately separates ordered stock, heat-treatment section, final envelope, specimen relationship, and downstream machining. If grade selection remains open, request separately priced technical alternatives rather than placing several designations on one material line.

Require bidders to return a compliance matrix showing the exact standard and edition, source form, condition, starting and production sections, process owners, machining scope, specimen locations, tests, NDT feasibility, document type, traceability, deviations, destructive-test allowance, packing, lead time, and exclusions. A lower unit price based on a smaller test coupon, soft-condition bar, different product form, or omitted UT is not a comparable quotation.

At order acknowledgment, reconcile the supplier return with the drawing and purchase order. Freeze document precedence, material route, sizes, heat treatment, machining allowances, straightness and surface, tests and acceptance, identity map, third-party points, nonconformance authority, release, preservation, marking, and packing. Only accepted order terms define the requirements for a specific supply.

Should shaft RFQs include drawings or machining notes?

Yes. A controlled drawing should identify final journals, shoulders, fillets, keyways, splines, threads, holes, tolerances, datums, and critical zones. The RFQ should separately state which features are supplier scope, the rough stock or blank size, machining allowance, surface-removal basis, inspection stage, and whether the drawing or purchase order controls each requirement.

Why should shaft RFQs include rough and final size?

They expose the actual route. Ordered size controls sourcing and yield; the ruling or heat-treatment section controls section response and test interpretation; final size controls usable machining allowance and geometry.
